Numbers have to stay aligned

A wrong word in a paragraph can shift half a point and nobody notices. A wrong figure in a table cannot: it sits in a column of other figures with their right edges aligned, and a fraction of a millimetre of drift is visible against the four rows above it. With numbers, keeping everything else in place is the whole job.

They are also the easy case in one respect. A document that prints one number prints others, so the digits are already in the font — the refusal that catches out headings and names almost never applies here.

What happens to the column

Swapping digits without changing how many there are — 902.15 to 904.25, one date for another — leaves the column exactly as it was, because the new figure is precisely as wide as the old. That is the usual case. When the number of digits changes, the width changes with it, and the preview shows what that does to the column before you pay anything.

If other text follows the figure on the same line, untick Move the rest of the line and it stays exactly where it was. After the edit, every character outside the number is compared against its original position — on a table, that means every other figure in the column.

Totals are not recalculated

It changes what a number says; it does not do arithmetic. If the figure feeds into a total printed elsewhere on the page, change that total as a second edit.

The steps

  1. Upload the document

    An invoice, a statement, a report, a quote.

  2. Copy the number exactly as it is printed

    Separators included — 1,204.80 and 1204.80 are different text, and so are a hyphen and an en dash.

  3. Type the number it should be

    Longer or shorter is fine.

  4. Check, then look at the column

    The result comes back as a picture; the alignment is the thing to look at, and it is free to look.

Questions

Does it update the total?
No. It changes what a number says; it does not do arithmetic on your document. Any total that has to change is its own edit.
The number appears twice — as a figure and in words.

Can I change a number in a table on page 6?
Yes — set the page. Editing is per page, because the same figure on another page is usually a different decision.
